2010-09-13 - Minutes for Organising Committee Meeting

New Actions

  • Karen and Steph to invite TOV people (Mayor, John Georgio, Jamie, Councillors), Local Politicians (John Hyde and Stephen Smith), and all major Sponsors
  • Alex to organise the opening ceremony with Paola and Indigineous Welcome to Country
  • Alex to work with Colin on developing a procedure on how the money will be handled on the day. Needs to be communicated to all Stall holders.


Marketing

  • Roadside signs - are these worthwhile and if so, is the cheapo cardboard option do-able?
  • Tuesday 31st cutoff for including sponsors in advertising
  • Teaghan to organise some young'ens to conduct market research on the day
  • Email flyer for all parents to be sent out a couple of weeks prior

 

Entertainment

  • We have all the events we need for the undercover area.


Food and Beverage

  • Sally to work out how we deliver the floss, fresh or by bag
  • Sally liaising with Iain Lawless and Cooking Professor
  • Possibly going to give the bacon and egg burgers a miss - too much trouble. Will liaise with year 7 about this.
  • Alex to introduce Ro and Sal to Pete at Glory Box
  • No one has stepped up to run the second fairy floss stall
  • Ro to contact Leaf and Bean
  • Ro to contact Hire Society to get 10 more tables for the cafe stall

Rides

  • 7 for $20, 3 for $10, or $4 each. Arcade rides will be $1. Climbing wall costs 2 tickets.
  • Nicola to identify candidates prepared to be "on-call" and First-aider needs to be on site for the rock-climbing - Fiona has organised 2 GP's and we have 1 First-Aider.
  • Nicola - Are we having pony rides? - Needs to be finalised!!!
  • We need to buy 1,500 ride tickets

 

Logisitics

  • Nigel to confirm the Power Antenna and the 4th PA Stack - $720
  • Phil has contracted a Security Guard for the 6 to 7 hours of the Fete - price to be confirmed
  • Phil to contract a night guard for 14 hours @ $38 per hour - $532
  • Ali organising the banners for the approved TOV sites?
  • Corrallee is sorting out recycling bins for the day
  • Vanesssa Morris is working on an Plan to ensure we have health and safety issues covered, may need to talk to Colin to ensure we comply with any insurer's requirements
  • Teaghan to create a list of issues and who to call when we need a response


Raffle and Auction

  • Alex to ask Restoration Framers if they would do the framing as a donation to the School - 2 x A3 (a bit bigger)
  • Steph and Fiona to organise what goes where for the Trevor's Auction and the Silent Auction
  • Alex to type up descriptions of all Auctionable material and make them available for Website, emails, etc. and for Trevor to read it out
